Set up Scan to Email on a Xerox printer

If your Xerox multifunction printer stopped sending scans after a mail-provider change, point its Scan to Email at DeviceSMTP instead. Your scanner gets a simple SMTP login that only sends to the address you confirm — so the credential is worthless if it leaks from the panel.

Step by step

Where to find the SMTP settings

The exact labels vary by model and firmware version — use these as a guide and check your manual if a menu name differs.

  1. Open the printer’s web console (CentreWare Internet Services / the Embedded Web Server) by typing the printer’s IP address into a browser.
  2. Sign in as administrator, then go to Properties → Connectivity and look for the SMTP or Email setup.
  3. Enter the DeviceSMTP server and port below, turn on authentication, and paste your per-device username and password.
  4. Set the From address to your DeviceSMTP username, save, and send a test scan.
Good to knowYou’ll send to the recipient you confirmed when you created your free DeviceSMTP account. Each device gets its own login, so you can revoke this one without affecting anything else.

Troubleshooting

Common problems & fixes

Most issues on Xerox come down to one of these.

Authentication failed / 535

Double-check the username and password are the exact per-device values from your account (the password is shown only once). Re-create the device login if unsure.

Connection timed out / refused

The network may be blocking the port. Try 465 (SSL/TLS) if 587 fails, and make sure the device can reach the internet.

TLS or certificate error

Switch the encryption mode between STARTTLS (587) and SSL/TLS (465). Very old firmware that can’t do TLS 1.2 won’t connect — check for a firmware update.

Test email never arrives

Make sure you are sending to the recipient you confirmed on your DeviceSMTP account. Mail to any other address is declined by design.
